Troubleshooting common issues

Most issues come down to a handful of causes. Work through the relevant section — and if you're still stuck, support is one email away.

The assistant didn't join my meeting

  • Check the meeting had a Microsoft Teams or Zoom joining link — those are the supported platforms.
  • Check the meeting was recognised: it should appear in your Loopion calendar/meetings view before the start.
  • Waiting room / lobby: the assistant waits until admitted. If nobody admitted it, it couldn't capture.
  • If your calendar connection was blocked by IT, invite the assistant email directly to the meeting instead.
  • Check the assistant wasn't disabled for that meeting on the meeting page.

No summary or actions arrived

  • Processing usually completes within minutes of the meeting ending, but long meetings take longer.
  • Check the meeting page in Loopion — it shows the current status.
  • Check your spam folder for the summary email, and add loopion.ai to safe senders.
  • Loopion automatically retries many temporary processing failures — if a meeting stays stuck, contact support with the meeting date and title.

A speaker was attributed incorrectly

  • Attribution uses participant info, on-screen names, captions and timing. Joining from a meeting-room device or a second account can confuse it.
  • You can correct speaker attribution on the meeting page — corrections apply to the transcript and the actions.
  • Encourage participants to join with their own named accounts for best results.

An action is missing or wrong

  • AI can miss implicit commitments ("maybe someone should look at that…"). Explicit owner + deadline phrasing captures best.
  • Add, edit or remove actions on the meeting page — the loop treats manual actions exactly like captured ones.
  • Wrong owner or date? Edit the action — carry-forward and reminders update automatically.

Transcript quality is poor

  • Audio quality is the biggest factor: headsets, quiet rooms and one-speaker-at-a-time all help materially.
  • Heavy crosstalk and background noise reduce accuracy for every transcription system.

I can't see a meeting I expected to see

  • Meeting visibility is participant-scoped — you see meetings you were part of.
  • If a colleague ran the meeting and you weren't an attendee on the invite, ask them to share the recap.
  • Owners and managers can review team-level analytics without opening individual meetings.
